OPERATING AUTHORITY AND PURPOSE

Mail services are provided to all County departments located in the Courthouse, Law Enforcement Center, Ives Grove Complex Child Support office, County Board Office, and Ridgewood Care Center.  These services include sorting, routing and/or delivery of first class mail as well as inter-office mail. 

Printing services are provided for all County operations.  Printed materials are developed and produced for both internal and external use by all County Departments.  

The Print shop division is responsible for implementing the postal updates and taking advantage of USPS costs saving alternatives.

 

 EVALUATION OF PERFORMANCE MEASURES

The performance measures for the Print and Mail Division are the same as those for the electronic divisions of Information Systems.  These measures are:

 1.       The access to print and mail services must be customer-friendly, providing access to County staff in a way that connects them to services and information quickly.

2.       The print and mail service should provide cost savings, process efficiencies and/or greater access to County operations.

3.       The process should contain mechanisms that enable all County departments to access print and mail services.

 In the past year the print and mail services facility was completely reconfigured to facilitate better workflow of projects.  Outdated high maintenance equipment has been replaced or taken out of service during the past year to improve productivity and reduce costs. Every department in the County has moved as many of their form masters to electronic format as possible to reduce production cost and expedite form changes when needed.   

2003 GOALS AND BUDGET STRATEGIES

  1. Continue the effort to have all print masters put into electronic form to reduce storage space required, reduce the cost of changing the forms and provide flexibility in how the products are printed. 
     
  2. Continue to reduce the amount of printed material generated as the County moves to more online information delivery.
     
  3. Continue the initiative to reduce the amount of inbound junk mail that is accepted and delivered to departments.
